How Biozura Heating and Air Approaches Every Project

HVAC work goes wrong in predictable places. Equipment gets sized by square footage instead of measured load. Combustion analysis is skipped. Static pressure is never measured. Refrigerant charge is set by gauge reading without superheat or subcooling verification. Permits are skipped. The customer signs a quote with a single line item and never sees what was actually included. The walkthrough at install completion takes five minutes and the technician hands over a folder. Biozura’s process is built to remove every one of those failure modes. Nine steps, in order, with measurements documented at each. The same process runs on a $186 capacitor replacement and a $24,000 cold-climate heat pump retrofit — the depth scales with the scope, but the discipline does not change.

Step 1: First Contact

First contact gathers: nature of the issue (no heat, no cool, intermittent, maintenance, new install consideration); home address and zip code (for technician routing across the eleven-town service area); equipment age and brand if known; recent service history if available; and the customer’s preferred contact method and time window. A confirmation email or text is sent within one business hour, with the diagnostic appointment time and the assigned technician’s name and ETA window (typically 2-hour arrival window during business hours).

Step 2: On-Site Diagnostic Visit

The diagnostic visit runs $89 during business hours, $169 outside business hours (weekends, holidays, overnight 10 p.m. to 6 a.m.). The fee is credited toward repair labor if the customer authorizes the repair within 30 days. Diagnostic depth varies with the system but always includes:

  • Combustion analysis (any fuel-fired equipment): CO air-free measurement (target under 100 ppm; under 50 ppm is excellent), O&sub2; percentage (target 7–9% for atmospheric draft equipment, 4–6% for sealed-combustion modulating), stack temperature versus manufacturer spec, draft pressure for atmospheric, manifold pressure (target 3.5″ WC natural gas, 11″ WC propane), combustion efficiency calculation.
  • Static pressure measurement across the air handler with filter installed and clean: target under 0.5″ WC for standard PSC blowers, under 0.8″ WC for ECM variable-speed.
  • Refrigerant analysis on cooling and heat pump systems: high-side and low-side pressures, superheat (target 8–12°F on fixed-orifice systems), subcooling (target 8–14°F on TXV systems), saturation temperature versus actual line temperature.
  • Electrical measurements: capacitor microfarad reading versus nameplate tolerance (typically ±6%), amperage on motors against nameplate FLA, voltage at the contactor under load, control circuit voltages (24V class 2 verification).
  • System-specific tests for steam boilers: low-water cutoff function test (mechanical and electronic), gauge glass condition, skim port inspection, operating pressure verification (target 0.5–2 PSI residential one-pipe steam), pigtail and pressuretrol condition.
  • Visual inspection: heat exchanger borescope photos (gas furnaces), refrigerant line set condition, ductwork condition at accessible joints, flue and vent condition, condensate handling.

Photos are taken at each step. The customer sees what the technician sees.

Step 3: Written Diagnosis and Findings

Before any quote is written, the customer receives a written Findings Report. The Findings Report is an emailed PDF (or printed on-site if requested) that documents: measurements taken with their target ranges and the actual readings; equipment make, model, serial number, and approximate age; specific component failures identified (if any); recommended repair, replacement, or no-action approach with reasoning. The Findings Report contains no pricing. Its job is to explain what the data shows. Customers commonly send the Findings Report to a second opinion contractor for comparison — we encourage this for any quote exceeding $2,000 and have lost zero customers in 412 projects where the customer sought a second opinion based on our Findings.

Step 4: Written Quote — Comfort Investment Statement

If repair or replacement is recommended and the customer wants to move forward, the next document is the Comfort Investment Statement. This is the written quote, itemized to a degree most contractors do not provide. Line items:

  • Equipment make, model, serial-number prefix, BTU capacity, AFUE or SEER2 rating, refrigerant type, included warranty.
  • Equipment cost.
  • Estimated labor hours at posted hourly rate.
  • Permit and inspection fees (passthrough at municipal cost, no markup — West Hartford Building & Inspections, Hartford Department of Development Services, Bloomfield Building Department, etc.).
  • Refrigerant by the pound (R-410A, R-454B, or R-22 legacy at then-current market price).
  • Electrical work required (new dedicated circuit, disconnect, smart thermostat wiring).
  • Venting modifications required (sidewall PVC for condensing furnaces, B-vent for atmospheric, chimney lining if required by NFPA 54 Section 12 after furnace removal).
  • Ductwork modifications (return drop, supply trunk resize, plenum modification).
  • Equipment disposal and recycling fees.
  • Manufacturer warranty registration.
  • Connecticut sales tax (6.35% on labor and materials per CGS § 12-407).
  • Total project cost with three financing scenarios: cash discount, Synchrony 0% APR 36-month, Wells Fargo Home Projects 60-month equal-monthly. If applicable, Smart-E Loan scenario at midpoint APR.
  • Incentive stack: Eversource heat pump rebate at verified tier, federal IRC Section 25C tax credit estimate, HEEHRA if income-eligible. Net out-of-pocket after incentives.

The Comfort Investment Statement is valid for 30 days from issue. We do not pressure same-day decisions. We do not run “today only” pricing. The customer takes the document and considers it. If a second opinion is sought, the Findings Report and Comfort Investment Statement together provide the documentation the second contractor needs.

Step 5: Permit, Equipment Ordering, and Scheduling

Once the customer signs the Service Agreement and the Connecticut Home Improvement Act three-day rescission period elapses (CGS § 20-429(d)), three workstreams run in parallel.

Permit filing: We file the mechanical permit application with the appropriate municipal building department (West Hartford Building & Inspections at 50 South Main Street, Hartford Department of Development Services at 260 Constitution Plaza, Bloomfield Building Department at 800 Bloomfield Avenue, etc.). Standard residential HVAC permit fee runs $150–$280 depending on town and project scope. Permit issuance typically takes 3–5 business days. We do not install equipment before the permit issues.

Equipment ordering: Equipment is ordered from the manufacturer distributor (Crescent Parts & Equipment in East Hartford, Robertson Heating Supply in Newington, F.W. Webb in Manchester, depending on brand). Standard residential equipment ships in 5–10 business days. Specialty equipment (cast iron boilers, commercial RTUs, full Mitsubishi Hyper-Heat multi-zone systems) may take 2–4 weeks.

Eversource rebate registration: Heat pump and high-efficiency projects are pre-registered with the Eversource rebate portal (Biozura participating contractor #CT-EVS-22-04612). Pre-registration locks in the rebate tier at quote time so post-installation price changes don’t affect the rebate.

Step 6: Installation Day(s)

Most residential furnace or AC replacements are single-day projects (8–10 hours, two-technician crew). Full heat pump retrofits run 1.5–3 days. Cast iron steam boiler replacements typically run 2–3 days due to system cleaning, piping rework, and commissioning time. Commercial RTU replacement is single-day with a crane lift scheduled separately. Standard installation-day protocol:

  • Site protection: drop cloths on flooring along the equipment path, plastic film over furniture in the work zone, HEPA vacuum operating during demolition (especially in homes with disclosed mold or asthma residents).
  • Old equipment removal: refrigerant recovery to EPA Section 608 standards (Liquid recovery, then vapor; 500-micron evacuation; recovered refrigerant logged per cylinder serial number for the EPA recordkeeping requirement); electrical disconnect; gas line capped if applicable; old equipment loaded for recycling at Wilcox Environmental Services in Glastonbury.
  • New equipment installation: equipment placement, line set brazing with nitrogen purge (target oxygen contamination under 1%), pressure test to 500 PSIG for 30 minutes, vacuum to 500 microns and hold for 15 minutes, refrigerant charge by weight or by superheat/subcooling method (whichever is specified by manufacturer).
  • Ductwork modifications: as documented in the Comfort Investment Statement. New takeoffs sealed with mastic (not foil tape). Return drops sized per Manual D calculation.
  • Venting: PVC sidewall venting for condensing equipment with proper slope (1/4″ per foot back to the furnace for condensate drainage), proper clearances (12″ from windows, 4 feet from gas meter, 1 foot above grade snow line which in Hartford runs 24″). B-vent or stainless liner for atmospheric or B-vent water heater coordination.
  • Electrical: dedicated circuit if required, GFCI in basement applications where required by NEC 2023 Section 210.8(A)(5), smart thermostat wiring with C-wire installed.

Step 7: Commissioning and Verification

Before the technician leaves the site, every system is commissioned and verified against manufacturer specifications.

  • Gas appliances: combustion analysis at high fire and low fire, with printout. CO air-free under 50 ppm (well under the 100 ppm threshold). Combustion efficiency at or above manufacturer’s published value. Stack temperature within manufacturer band.
  • Air conditioning and heat pumps: refrigerant charge verified by superheat (fixed-orifice) or subcooling (TXV) method at the manufacturer’s specified operating conditions. Static pressure measured and documented. Indoor coil saturation temperature within manufacturer spec. Outdoor coil delta-T at design indoor temperature within manufacturer spec.
  • Cast iron and modcon boilers: operating pressure verified (0.5–2 PSI residential one-pipe steam; 12–15 PSI residential hot water), pressuretrol cut-in and differential set, low-water cutoff function tested (manual blowdown), gauge glass clear, system fired through three cycles to confirm clean operation.
  • Ductwork: total external static pressure measured with filter installed and clean. ECM blower speed adjusted to design CFM.
  • Where applicable: blower door test post-install on full retrofits where envelope air sealing was part of scope. Target air change rate at 50 Pa documented against the pre-install baseline.

All commissioning measurements are documented in the Customer Completion Package handed over in Step 8.

Step 8: Customer Walkthrough and Documentation Handoff

The walkthrough is unhurried. The technician explains how the new system operates, demonstrates the thermostat (programming setbacks, vacation mode, fan settings), shows where the filter is located and how often to change it (typically every 90 days for MERV 8, every 60 days for MERV 11+, every 30 days for MERV 13+), explains what normal versus abnormal operating sounds are, and explains what the warranty covers.

The Completion Package is a bound folder containing: equipment make/model/serial number; AHRI Certificate of Product Ratings (required for the IRC Section 25C federal tax credit); manufacturer warranty registration confirmation; commissioning measurement printouts; permit closeout document; the signed Service Agreement and Comfort Investment Statement; Eversource rebate filing confirmation if applicable; recommended maintenance schedule. Same documentation is also emailed as a PDF for digital archiving.

Step 9: Follow-Up, Warranty, and Maintenance Cadence

Three days after installation completion, the customer receives a phone call from Aisha (the service coordinator) to confirm system operation is normal and to answer any questions that arose after the technician left. Thirty days after installation, a follow-up email confirms the customer has had a chance to operate the system through different conditions and to address any minor settling issues (squeaks, vibration, condensate adjustment). At twelve months, the system is due for its first scheduled tune-up. The labor warranty covers the first year unconditionally for defects in workmanship. The manufacturer warranty covers parts (typically 10–12 years on major manufacturers with registration).

The Biozura maintenance plan (optional, $189–$324 per year depending on coverage tier) covers the annual tune-up, priority emergency dispatch, and a 15% discount on any repair work needed within the plan year. Most customers do not need the maintenance plan in year one because the labor warranty covers them; the plan becomes valuable starting in year two when the labor warranty has expired.

Frequently Asked Questions

How long does the whole process take from first call to project completion?
For a no-heat or no-cool emergency repair: same day or next day. For a planned furnace or AC replacement: typically 7–14 days from first call to install completion (3-day rescission window + 3-5 day permit + 5-10 day equipment ship + single-day install). For a full heat pump retrofit or cast iron steam boiler replacement: typically 2–4 weeks due to longer equipment lead time and 1.5–3 day install scope. Commercial RTU projects: 2–6 weeks depending on crane lift scheduling and unit lead time.
Why do you charge a diagnostic fee before any repair is authorized?
The diagnostic fee covers technician time, vehicle operation, and the equipment used to take real measurements (combustion analyzer, refrigerant gauges, digital manometer, capacitor analyzer, borescope). Without a diagnostic fee, the only way contractors can recover the cost of the diagnostic visit is by inflating repair quotes — which incentivizes recommending repairs that aren’t necessary or oversizing the scope. The $89/$169 diagnostic fee is credited toward repair labor if you authorize repair within 30 days, so customers who authorize the recommended repair effectively pay nothing for the diagnostic.
What if I get a second opinion that’s significantly different from yours?
Get the second opinion in writing. Compare both Findings Reports (if the second contractor produces one) and both quotes line-by-line. The differences usually fall into three categories: scope (one contractor includes something the other excluded), equipment selection (different brand or efficiency tier), or diagnosis (one contractor identified a different failure). We are happy to walk through the differences with you on the phone or in person. Across 412 projects, we have never lost a customer to a lower second opinion that did not omit measurable work scope or use a lower equipment tier.
Do you handle the Eversource rebate paperwork or do I have to file it myself?
We handle it. As participating contractor #CT-EVS-22-04612, we pre-register every eligible project with Eversource at quote time (locking in the rebate tier), file the final rebate application within 48 hours of equipment ship date, and provide the AHRI Certificate of Product Ratings and manufacturer’s certification statement Eversource requires. The check is mailed by Eversource directly to your address in 8–12 weeks. The dealer is not in the funds path. You do not need to fill out the rebate paperwork yourself.
Can I see the measurements you take during diagnostic or commissioning?
Yes. The technician shows you the readings on the meter face during the diagnostic. The combustion analyzer prints a paper tape we leave on-site. The Findings Report (Step 3) documents every measurement in writing. The Customer Completion Package (Step 8) includes commissioning printouts. If a specific measurement doesn’t make sense to you, the technician explains what the spec is and why the reading matters. Most homeowners have never seen this level of measurement on an HVAC service call — we treat it as the floor, not the ceiling.
